The Opportunity 

*Hybrid Position*

We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant. The successful candidate will provide comprehensive administrative support primarily to our President and Senior Leadership Team enhancing their effectiveness and contributing to the overall success of the organization. The ideal candidate should be proactive, resourceful, and capable of handling a wide range of administrative tasks with confidentiality and professionalism.

Role Responsibility

So, what will you be doing? This role has a broad and varied scope and the successful candidate will have responsibility for duties including:

  • Calendar Management: Coordinate and manage the President, North America and Senior Leadership Team’s calendar, meetings, and travel arrangements.
  • Meeting Coordination: Organize and prepare materials for meetings, including agendas, minutes, and follow-up items; ensure the President is well-prepared for each meeting.
  • Expense Management: Process expense reports and invoices, ensuring accuracy and timely submission for the Senior Leadership Team.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
  • Team Collaboration: Work closely with other executive assistants and administrative staff to streamline operations and improve office efficiency.
  • Office Management:
    • Manages the day-to-day needs of the office
    • Greets and assists visitors, guests, and delivery drivers
    • Answers incoming phone calls and routes calls as appropriate
    • Inventory, ordering, and stocking of office supplies in all shared spaces
    • Keeping general areas neat and organized
    • Pick up, sort, and distribute mail to appropriate departments
    • Handles delivery of incoming packages and shipping of outgoing packages
    • Enters maintenance requests and coordinates office set-ups, repairs, and renovations
    • Assist building management with employee requests, safety events, and email notifications
    • Assist with set-up of conference rooms and technology needs during meetings
    • Organizing catering for in-house meetings
    • Coordinates and prepares office spaces for new hires and guests
    • Complete Travel & Expense reports as designated
    • Purchase Order entry and invoicing for the Office
    • Notary
    • Assist other departments with special projects as requested
    • Assist as needed with hotel reservations for certain guests and handle logistics for incoming Dechra guest
    • Other duties as necessary
